Leave unit conversions feature

Timesheet Portal introduces new Leave Unit Conversion – Managing Leave in Days and Hours. Come see what to expect and whether the changes will affect your team

We’re pleased to introduce Leave Unit Conversion, a new feature that allows you to manage leave using multiple units (days and hours) and seamlessly convert between them where needed.

This enhancement is designed to support organisations that manage leave differently across user types or are transitioning from days to hours-based leave tracking or vise versa .


Managing Multiple Leave Units

With this new functionality, users can now have leave tracked in more than one unit across different leave years.

When you change a user’s leave unit (for example, from days to hours), the Leave Management page will reflect this change automatically:

  • The user will appear on two rows:
    • One row for Days
    • One row for Hours
  • This ensures historical data remains visible while supporting the new unit going forward

This makes it easy to manage transitions without losing visibility of previous entitlements or bookings.


What Happens in Future Leave Years?

Leave units are tied to the relevant leave year.

For example:

  • If a user is switched to hours and you navigate to 2027, you will only see the Hours row
  • Days will no longer appear for that user in that leave year, as they are no longer applicable

This keeps leave data clean, relevant, and aligned to how the user’s leave is currently managed.


Converting Historical Leave Bookings

If you would like existing leave bookings to match the new unit, this can be done using the built-in conversion tool.

From the Create Adjustments button within the employee leave, you’ll now see a “Convert units” option. This allows you to:

  • Convert historical leave bookings into their alternative unit
  • For example, convert all previous day-based bookings into hours

This is optional and gives you full control over how historical data is handled.


Converting Leave for Multiple Users

At the moment, there isn’t a feature to convert leave units for all users at once.
